About the Position

We are currently recruiting for full-time Executive Assistant – Leadership Support to assist the Executive Assistant to the President.  The recipient of this role will ensure the efficient day-to-day operations of the Leadership team by providing executive assistance and administrative support to individual members of the team and the Executive Assistant to the President.

You are extremely organized, a self starter, maintaining confidentiality with a keen ability to shift priorities as required. You will strive to maintain a Christlike attitude and to practice Christian disciplines while performing professional ministry responsibilities as well as in personal life.

Key responsibilities

Administrative Support:

  • Attend to all matters with a high degree of confidentiality and discretion within and outside of the office
  • Attend meetings, record minutes and circulate
  • Make travel, meeting and other arrangements as required
  • Make hospitality arrangements for departmental staff events
  • Prepare and reconcile expense reports
  • Create purchase orders and review invoices as required
  • Assist with hospitality arrangement for staff events
  • Manage the Leadership teams’ calendar as well as telephone, mail communications and scheduling

Christian Witness:

  • Ensure the principles of our Christian faith are evidenced and reflected in any communication coming from the Leadership team
  • A willingness to pray with others
  • Actively participate in prayer each day for the families we serve and the activities of the Ministry
  • Maintain a consistent Christian witness at all times as this is fundamental to the mission of the Organization

Planning & Scheduling: Management Team:

  • Plan, schedule and organize management meetings
  • Attend meetings, prepare agendas and take minutes, draft reports and memos where necessary
  • Compile aggregate metric reports from all departments

Prayer & Devotions:

  • Create the bi-monthly prayer partner newsletter
  • Schedule devotional leaders for staff devotions
  • Be a back-up for the devotionals host

President's Office Support

  • Provide holiday coverage for the Executive Assistant to the President
  • Kitchen assistance on board meeting days
  • Be a key member of the events team, involved in the planning and execution of all staff events

 

Skills & Experience:

Education and Training:

  • Training in administration, word processing and time management preferable
  • Post-secondary diploma or degree would be considered an asset

Professional Experience:

  • Previous administrative assistant/secretarial experience required
