ABOUT THE POSITION

Focus on the Family Canada is seeking a highly organized and detail-oriented Creative Services Project Coordinator for a 12-month contract position.  As a vital member of our in-house creative services team, you will work closely with our team of graphic designers, copywriters, content producers and other marketing staff. This role plays a pivotal role in ensuring the successful execution of creative marketing projects to support our  organizational strategic objectives.


KEY JOB FUNCTIONS

1. Project Management

  • Work with management to collect project requirements from various stakeholders for Focus on the Family Canada’s marketing collateral, including print and digital creative assets.
  • Set up and manage creative projects in Basecamp.
  • Assign resources and manage project tasks to ensure timely completion staying within budget; and overseeing the end-to-end process, from concept to delivery.
  • Co-manage project kick-off and status meetings to keep the team informed and address potential roadblocks.
  • Collaborate with management to track project expenses, create purchase orders, and ensure adherence to budget guidelines.
  • Maintain filing system of all complete projects. Ensure all contract terms are met and invoices are paid before closing the project.

2. Team Collaboration

  • Foster a collaborative environment within the creative services team and across departments.
  • Act as a liaison between creative team members, ensuring effective communication and a shared understanding of project goals and timelines.
  • Encourage a positive and innovative team culture that values input from all team members.

3. External Partnerships

  • Create purchase orders and collaborate with external vendors to ensure high-quality production and delivery of marketing materials.
  • Coordinate with external vendors to obtain quotes, negotiate terms, and ensure deliverables meet the organization’s standards.

4. Quality Assurance

  • Conduct thorough quality checks on all creative deliverables to ensure alignment with project objectives, brand guidelines, and organizational standards.
  • Work closely with management to refine processes and improve the overall quality of project outputs. 

Qualifications

  • Post secondary education in Project Management, Marketing, or a related field
  • Proven experience in project coordination or production management.
  • Demonstrated experience with project management tools and MS Office.
  • Excellent organizational and time-management skills.
  • Strong communication and collaboration abilities.
