Salary range:  $28,704 - $33,696 per annum ($23/hour - $27 /hour)

About the Position

Focus on the Family Canada is seeking a dynamic part-time Administrative Assistant to support our Executive Team. The Executive Team represents and leads the ministry by providing strategic direction and leadership in planning, developing and guiding the implementation of all ministry activities. 

The ideal candidate is an energetic and engaging administrative professional who wants to wholeheartedly contribute to the mission of Focus on the Family Canada. You should be comfortable multi-tasking, with the ability to maintain a sense of perspective when under pressure and confronted by shifting priorities. You will ensure the efficient day-to-day operations of the Leadership team by providing administrative assistance and support to individual members of the team as well as to the Executive Assistant to the President.

Key responsibilities

General Administrative Support

  1. Attend to all matters with a high degree of confidentiality and discretion within and outside the office
  2. Maintain cleanliness and stock levels in the second-floor copy room and oversee office supplies

Chief Operating Officer (COO) and Chief Marketing Officer (CMO) Support

  1. Manage the calendar, travel, and email correspondence for the Chief Operating Officer (COO) and Chief Marketing Officer (CMO), prioritizing urgent matters.
  2. Prepare and submit the monthly expense reports and budget reconciliation.
  3. Organize and manage daily devotions, monthly Brunch & Learns, and monthly Chapels, including travel logistics for guest speakers, podcast guests and preparation of materials.
  4. Plan, schedule and organize management meetings
  5. Prepare for and take detailed minutes during Leadership Team and other key departmental meetings.
  6. Coordinate the completion of the Monthly Management Team Reports
  7. Prepare, edit, and format documents, reports, and presentations.
  8. Maintain accurate records, databases, and filing systems (both digital and physical).
  9. Assist in compiling data and reports for executive and board meetings, and other high-priority initiatives and special projects.

Chief Financial Officer Support (Human Resources)

  1. Participate as a member of the Health & Safety Committee
  2. Manage the new employees' orientation schedule, including Health & Safety Tours

President's Office Support

  1. Serve as a backup to the Executive Assistant to the President during absences (i.e., vacation, sick leave, etc.).
  2. Provide hospitality services during Board Meetings, including set-up, serving, and cleanup.
  3. Participate as a member of the Social Committee.

About You
  • You thrive in a fast-paced work environment, with servant hearted mindset

  • You possess strong time management skills and the ability to prioritize tasks in a fast-paced environment
  • You have proven task management and time management skills from your previous roles
  • You are self-directed: ability to anticipate action items / organizational challenges/opportunities and address them
  • You have worked in an environment that requires high level of professionalism and ability to maintain strict confidence

Qualifications
  • Ideally a post-secondary education in administration or a related field is preferred
  • 2-3 years of experience in an administrative or executive assistant role, preferably within a non-profit environment
  • Advanced skills in Microsoft 365 (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools such as Basecamp and Asana (an asset).
  • Typing speed of at least 60 words per minute.
  • Excellent written and verbal communication skills.
  • Willing to use your vehicle for local travel.
  • Willing and able to work as part of a team - willing to do whatever it takes to get the job done
  • Active participant in the organization’s devotions and chapel time
